Terms & Conditions

Effective Date: 1st August 2026

Welcome to Vaya Studio.

By booking or attending a workshop, purchasing a product or gift voucher, engaging us for a private or corporate event, or using our website, you agree to these Terms & Conditions.

At Vaya Studio, our aim is to create beautiful, welcoming experiences where creativity, connection and calm come together. These Terms help ensure every guest enjoys a positive experience while clearly outlining our responsibilities and yours.

1. About Vaya Studio

Vaya Studio is a Queensland-based creative workshop business offering public workshops, private events, corporate experiences, creative products and related services.

These Terms & Conditions apply to all bookings, purchases, events and interactions with Vaya Studio.

2. Bookings

Bookings are confirmed once full payment has been received unless otherwise agreed in writing.

Workshop places are limited and are allocated on a first-paid basis.

Please ensure your booking information is accurate and advise us promptly if your contact details change.

We reserve the right to refuse or cancel a booking where reasonably necessary for operational, safety or legal reasons.

3. Pricing and Payment

All prices are displayed in Australian Dollars (AUD).

Payment is required at the time of booking unless alternative arrangements have been agreed.

Prices may change without notice; however, confirmed bookings will always be honoured at the price paid.

4. Cancellations, Transfers and Refunds

Customer Cancellations

We understand that plans sometimes change.

If you are unable to attend your workshop:

  • More than 14 days before your workshop – you may transfer your booking to another available workshop or receive a Vaya Studio credit valid for 12 months.
  • 7–14 days before your workshop – you may transfer your booking once to another available date, subject to availability.
  • Less than 7 days before your workshop – bookings are generally non-refundable and non-transferable.

If you cannot attend, you are welcome to transfer your booking to another person at no additional charge. Please notify us before the workshop commences.

Cancellations by Vaya Studio

Occasionally we may need to cancel or reschedule a workshop due to facilitator illness, insufficient bookings, venue issues, severe weather or circumstances beyond our reasonable control.

Should this occur, you may choose:

  • a full refund;
  • a workshop credit; or
  • transfer to another available workshop.

Vaya Studio is not responsible for travel, accommodation, parking, childcare or other incidental expenses incurred as a result of a cancellation or rescheduling.

Nothing in these Terms limits your rights under the Australian Consumer Law.

5. Gift Vouchers

Gift vouchers:

  • are valid for the period shown on the voucher;
  • are not redeemable for cash;
  • may be used towards eligible Vaya Studio workshops or products unless otherwise stated;
  • cannot be replaced if lost or stolen, except where required by law.

    6. Arrival

    Please arrive approximately 10–15 minutes before your workshop begins.

    This allows time to settle in, enjoy a welcome refreshment and receive important workshop information.

    Late arrival may result in missing essential instructions, and we cannot guarantee participation once a workshop has commenced.

    Participants who do not attend without notice (“no-shows”) will generally forfeit their booking.

    7. Participant Experience

    Vaya Studio is committed to providing a welcoming, inclusive and restorative environment where everyone feels comfortable to slow down and create.

    To help us maintain this experience, participants agree to:

    • treat fellow guests, facilitators and venues with kindness and respect;
    • follow all workshop instructions and safety guidance;
    • use workshop materials and equipment responsibly;
    • advise us of any accessibility requirements or relevant medical conditions before attending where practical; and
    • contribute to a relaxed and enjoyable environment for everyone.

    We reserve the right to refuse participation or ask a participant to leave where behaviour is unsafe, abusive, disruptive or places others at risk. In these circumstances, refunds will not be provided.

    8. Creative Outcomes

    At Vaya Studio, we believe the value of a workshop lies in the experience as much as the finished piece.

    Every creation is handmade and uniquely personal.

    Our facilitators provide thoughtful guidance, demonstrations and encouragement throughout each workshop; however, every participant brings their own creativity, pace and style. As a result, finished pieces will naturally vary and may differ from examples shown on our website, social media or promotional material.

    We celebrate individuality and the beauty of imperfection, and encourage participants to embrace the creative journey rather than strive for perfection.

    9. Handmade Products

    Many of the products created or sold by Vaya Studio are handmade or handcrafted using natural materials.

    Minor variations in colour, texture, finish, pattern, size or appearance are a natural characteristic of handmade work and should not be considered faults or defects.

    These unique variations are part of what makes every piece special.

    10. Health and Safety

    Some workshops involve the use of paints, ceramics, glass, adhesives, tools, heat or other creative materials.

    Whilst Vaya Studio takes reasonable care to provide a safe environment, participation is undertaken at your own risk.

    Participants agree to:

    • follow all facilitator instructions;
    • use equipment safely;
    • immediately notify us of any injury, allergy or hazard.

    If you have allergies, accessibility requirements, medical conditions or other circumstances that may affect your participation, please let us know before your workshop so we can make reasonable accommodations where possible.

    11. Children

    Unless specifically advertised as a children’s or family workshop, participants must be at least 16 years of age.

    Participants under 18 years must be accompanied by a responsible adult unless otherwise stated.

    12. Photography and Social Media

    We love capturing the atmosphere and creativity of our workshops and may take photographs or short videos during events for use on our website, social media and promotional material.

    Where practical, we will seek consent before taking identifiable photographs.

    If you would prefer not to appear in photographs or videos, simply let your facilitator know before the workshop begins and we will happily respect your wishes.

    Participants are welcome to photograph their own creations and share their experience online. If posting on social media, we’d love you to tag @VayaStudio.

    13. Intellectual Property

    All workshop content, designs, written materials, instructions, photography, branding, logos and website content remain the intellectual property of Vaya Studio unless otherwise stated.

    Workshop participants are welcome to photograph and enjoy their own creations for personal use.

    Workshop materials, designs and teaching content must not be copied, reproduced, taught commercially, distributed or used for commercial purposes without our prior written permission.

    14. Private Events and Corporate Workshops

    Additional terms may apply to private bookings, corporate workshops and community events.

    These may include:

    • deposits;
    • minimum participant numbers;
    • venue access requirements;
    • travel charges;
    • final guest numbers;
    • event timing; and
    • cancellation arrangements.

    Where applicable, these terms will be outlined in your quotation or booking confirmation.

    15. Limitation of Liability

    To the maximum extent permitted by law, Vaya Studio is not liable for indirect, incidental, consequential or economic loss arising from participation in our workshops, attendance at our events or use of our website.

    Nothing in these Terms excludes, restricts or modifies any rights or consumer guarantees that cannot be excluded under the Competition and Consumer Act 2010 (Cth), including the Australian Consumer Law.

    Where liability cannot lawfully be excluded, our liability is limited to the remedies permitted under the Australian Consumer Law.

    16. Privacy

    We respect your privacy and collect, use and store personal information in accordance with the Privacy Act 1988 (Cth).

    Please refer to our Privacy Policy for further information.

    17. Website

    Whilst we endeavour to keep the information on our website accurate and up to date, we do not guarantee that all information will always be complete, current or free from error.

    Links to third-party websites are provided for convenience only. Vaya Studio is not responsible for the content or privacy practices of those websites.

    18. Force Majeure

    Vaya Studio is not responsible for delays, cancellations or failure to perform our obligations where caused by circumstances beyond our reasonable control, including severe weather, natural disasters, public health events, government restrictions, power outages, venue closures or supplier disruptions.

    19. Governing Law

    These Terms & Conditions are governed by the laws of Queensland, Australia.

    Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Queensland.

    20. Changes to These Terms

    We may amend these Terms & Conditions from time to time.

    The latest version will always be published on our website and will apply to all bookings made after the publication date.
